How RhodeCar handles information when you browse the website, contact us or submit a car rental request.

1. Information we may collect

The information processed depends on how you use the website.

Rental requests

When you submit a rental request, we may process information such as your name, email address, telephone number, country, driver age range, pickup and return dates and times, selected locations, vehicle category, selected extras and, where necessary, flight, ferry, hotel or meeting-point details.

We may also process information you choose to provide in connection with your request.

Contact form

When you contact us through the website, we may process your name, email address, telephone number, booking reference where available, and the content of your message.

2. Technical and visit information

When the website is used, technical information may be generated for operation, security, performance measurement and understanding how visitors reach RhodeCar.

Depending on the visit, this may include the landing page, referrer, website language, browser or device information, UTM parameters and advertising click identifiers such as GCLID, GBRAID or WBRAID, together with campaign, ad group, keyword, network or device information when supplied through the advertising URL.

For our server-side advertising attribution, technical identifiers may be stored and IP address and user-agent information may be converted into cryptographic hashes rather than storing the original values in that attribution record.

3. Why we use information

Information may be used to process rental requests, check availability, communicate about a request or confirmed booking, arrange pickup and return, manage changes or cancellations, answer contact requests, process payments or deposits where required, operate and secure the website, measure traffic and advertising performance, improve the service and comply with legal obligations.

4. Legal bases for processing

Depending on the circumstances, processing may be necessary to take steps requested before providing a rental service, to perform the requested service, to comply with a legal obligation, or to pursue legitimate interests such as website security, fraud prevention and service operation.

Where optional analytics or advertising technologies require consent, processing is based on the choices you make through the cookie controls. Consent may be withdrawn at any time.

5. Rental requests and confirmation

Information submitted through the booking form is used to process your request. Sending the form does not by itself create or confirm a reservation.

The Reservations Department may use the submitted details to check availability, contact you and, where required, provide instructions for completing the booking or paying a deposit.

6. Payments

Where a payment or booking deposit is required, the transaction may be processed by an external payment provider. RhodeCar may receive transaction-related information such as the amount, payment status, transaction reference and date or time of payment.

Payment information handled directly by the payment provider is also subject to that provider’s own privacy policy and terms.

7. Cookies and consent choices

RhodeCar uses technologies that are necessary for the operation of the website and may, depending on your choices, use optional technologies for analytics and advertising measurement.

Cookie controls allow you to accept or reject optional categories. RhodeCar uses Google Consent Mode so that relevant consent choices can be communicated to Google services.

Separate first-party technical identifiers may also be used for server-side attribution of visits that originate from paid advertising, so that a later rental request can be connected to the relevant advertising visit. 8. Google Analytics and advertising measurement

Subject to the applicable consent settings, Google services may be used to measure website traffic, analyse website usage, assess advertising effectiveness and attribute conversions to campaigns.

Information entered into booking or contact forms, such as your name, email address or telephone number, is not used as a direct identifier in standard website traffic reports.

9. Who may receive information

Personal information is not sold to third parties.

Access may be provided only where necessary for the service, including to partners involved in fulfilling the specific rental, hosting and technical service providers, communication providers, payment providers, analytics or advertising providers in accordance with the applicable consent choices, and competent authorities where disclosure is required by law.

Only information reasonably necessary for the relevant purpose is shared.

10. Transfers outside the European Economic Area

Some technology providers may process information outside the European Economic Area. Where this occurs, appropriate legal mechanisms and safeguards required by applicable data-protection law are used.

11. How long information is kept

Information is retained only for as long as reasonably necessary for the purpose for which it was collected. Retention periods may depend on the management of a rental request or booking, customer support needs, accounting or tax obligations, possible disputes, legal requirements, and security or abuse-prevention needs.

No internet service can guarantee absolute security, but reasonable measures are taken to protect information using current security practices.

Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

The car rental service is intended for adult drivers who meet the applicable age requirements. We do not seek to collect personal information about children through the website. Selecting a child seat or booster does not require the child’s personal details.
